Thank you for volunteering your time as a Room Parent! You provide an invaluable service to the school. In addition to coordinating class parties and events, a Room Parent is the main source of communication between the PTA, your teacher, and the parents in your class. You will be invited to attend an orientation meeting at the beginning of the school year where you will receive an overview of the Room Parent role. A summary of the duties is noted below for your reference.
Room Parent Duties:
- create and distribute a class roster
- create and distribute your classroom's volunteer schedule
- coordinate classroom parties and events
- support school events throughout the year by communicating event details and soliciting volunteers when needed
- forward on school news on occasion
To efficiently carry out Room Parent duties, Room Parents should set up a class site via Shutterfly's share site service. Shutterfly share sites
are free and easy to create. Most people are already familiar with them and will appreciate being able to find all classroom information -- eg, class roster, volunteer schedule, and class pictures -- in one convenient place. No more forwarding class rosters during the year to those parents who might have deleted your class roster email!
On Back-to-School Night, you or your teacher will ask parents to provide an email address for Room Parent communications and to provide consent to having their child's picture on the Shutterfly class site. This information can be collected by circulating a simple form (see RP locker for a sample). Though parents will have already provided their email address to the school and school district during the registration process, they still need to expressly release that information to you for Room Parent communications. Please let parents know that, if they choose not to provide an email address, they may not receive important classroom information. Use the email information, along with the students' names, to create a class roster on the Shutterfly class site. You will then be able to communicate to the whole class with just one click, rather than entering each email address for every message. As for class pictures, please inform parents that (1) pictures are posted so parents can see pictures of their child at events (eg, field trip or Fun Run) that they might not be able to attend and (2) the only people with access to the Shutterfly class site will be the students' parents/guardians and the teacher.
As soon as possible (hopefully before BTSN), you will want to learn from your teacher what the class volunteer opportunities will be so that you can create a volunteer schedule. The typical ones are Library, Computers, Centers, and Friday Folders. You will also need to learn the days and times on which they will occur. Use the "Volunteer" tab on the Shutterfly class site to create a separate sign-up for each volunteer opportunity. Once you publish the sign-ups, parents can sign themselves up to volunteer. The "Volunteer" tab will also be where you create sign-ups for class parties to collect donations and/or party supplies, as well as organize party volunteers.
